These terms and conditions govern the use of Ephesian Tourism & DMC’s website, located at https://ephesiantourism.com/. By accessing and utilizing this website, it is understood that you agree to comply with and be bound by these terms and conditions. If you do not agree with any part of these terms and conditions, refrain from using Ephesian Tourism & DMC’s services.
Definitions
- Client, You, or Your: refers to the individual accessing the website and accepting the Company’s terms and conditions.
- The Company, Ourselves, We, Our, or Us: refers to Ephesian Tourism & DMC
- Party, Parties, or Us: refers to both the Client and the Company.
- Departure Date, Tour Departure Date, or Scheduled Tour Departure Date: refers to the starting date of your travel services.
Booking Policy
Reservation Process
Reservations can be made through various channels, including online, email, WhatsApp, or phone calls. Upon completing a reservation, a minimum deposit of 50% of the total cost is required. The remaining balance must be paid no later than 30 days before the scheduled tour departure date. If the reservation date is less than 30 days from the departure date, the full package amount will be paid to complete the reservation.
Important Notice Regarding Payment Deadline
If the remaining balance is not paid by the specified deadline of 30 days before the scheduled tour departure date, the reservation may be subject to cancellation, and the initial deposit may be forfeited. Please ensure timely payment to secure your booking.
Payment Methods
Bank Transfers
Reservations can be secured by making a minimum deposit of 50% of the total cost via bank transfer. Please note that an additional 2% bank charge will apply to both the down payment and the remaining balance when using this method.
Online Credit Card Payment
Customers also have the option to make both the down payment and remaining payments securely through our online credit card payment system. A 4% bank charge will be applied to both the down payment and the remaining balance when using this convenient method.
Online credit card payments on our platform require the use of 3D Secure Credit Cards, which adhere to a heightened security standard. 3D Secure involves an additional layer of authentication during online transactions, typically in the form of a One-Time-Password (OTP). This dynamic code is sent to the cardholder’s registered mobile phone or email address and must be entered to verify their identity. The use of 3D Secure technology, coupled with the OTP feature, ensures a more secure online payment process by adding an extra level of protection against unauthorized access and fraudulent activities. Customers are encouraged to use credit cards supporting 3D Secure for a safer and more reliable transaction experience on our platform. Therefore, only 3D secure credit cards are accepted.
Cash Upon Arrival
For travelers who prefer the convenience of paying in cash upon arrival, this option is available. It’s important to note that this payment method does not involve any additional bank charges. However, to utilize the cash-upon-arrival option, it is imperative that your designated travel specialist explicitly provides and presents this choice during the tour reservation process. Without the specific inclusion of the cash upon-arrival option by our travel specialists, this payment method cannot be selected or utilized by customers.
Booking Confirmation
A confirmation email will be sent upon successful booking after the payment.
Cancellation Policy
Cancellation Deadlines and Fees
- Cancellations received more than 45 days before the scheduled tour departure date will incur a penalty of €150 per person as a planning fee.
- Cancellations received between 45 and 30 days (including the 45th and 30th day) before the scheduled tour departure date will incur a penalty equal to 30% of the total cost per person, or a penalty of €250 per person if 30% is less than €250.
- Cancellations received within 29 and 15 days (including the 29th and 15th day) before the scheduled tour departure date are subject to a 50% cancellation fee of the total cost per person, or a penalty of €250 per person if 50% is less than €250.
- Cancellations received less than 14 days (including the 14th day) before the scheduled tour departure date will be considered a no-show and are subject to full charges.”
Refund Policy
The amount calculated depending on the cancellation conditions will be refunded to the channel you paid for within 30 business days after the canceled tour departure date. The bank charges will be deducted from the paid amount.
Exceptions
- Customized tour packages, curated with the assistance of our travel specialists, may have specific cancellation exceptions due to the incorporation of special discounts and non-refundable rates. These personalized packages are non-refundable unless cancellation terms are expressly outlined.
- In exceptional circumstances such as emergencies or force majeure events, the Company may consider waiving cancellation fees. Please contact us directly to discuss such cases.
Cancellation Request Procedure
Customers should initiate cancellation requests via email, phone call, or WhatsApp message.
Modification Policy
Changes to Bookings
Modifications or changes to existing bookings are permitted without any associated service fees. We offer a free customization service.
Postponements
Reservations can be postponed within the same season by adhering to the postponement dates below; festival season, national holidays, and public holidays cannot be used for postponed packages. Postponement conditions for tailor-made packages that include flight tickets may be subject to a fee. Price differences that may arise from seasonal differences will be shared with the customer during the postponement request.
Changes in the number of guests
The prices quoted during the Tailor-made travel planning phase are applicable based on the specified number of adults and children provided at the time of the request. It’s important to note that these prices are contingent on the declared guest count. Should there be a reduction in the initially declared number of guests, there may be adjustments to the overall package prices. Therefore, the accuracy of the guest count during the planning phase is crucial to ensure the validity of the provided prices for your tailor-made experience.
Deadline for Modifications
Customers must request modifications to their bookings at least 8 days prior to their scheduled tour departure date. In case of emergencies, our 24/7 contact is available for immediate assistance.
